Refund Policy

1. Overview

At Orvexium Consulting ("Company," "we," "us," or "our"), we are committed to delivering exceptional consulting services and ensuring client satisfaction. This Refund Policy outlines the terms and conditions under which refunds may be issued for consulting services, advisory engagements, analytical reports, and other deliverables.

We understand that business needs evolve, and we strive to be fair and transparent in our refund practices. This policy applies to all services provided by Orvexium Consulting, whether engaged through a formal Statement of Work (SOW), proposal agreement, or other written arrangement. By engaging our services, you agree to this Refund Policy, which should be read alongside our Terms of Service.

2. Nature of Services

Orvexium Consulting provides professional advisory and analytical services that involve significant time, expertise, and intellectual effort. Due to the nature of consulting services, once work has commenced and professional time has been invested, full refunds may not be available. However, we are committed to resolving any concerns and ensuring satisfaction with our deliverables.

3. Refund Eligibility

3.1 Pre-Commencement Cancellation

If you cancel an engagement before any work has commenced, you are entitled to a full refund of any fees paid in advance, minus any non-refundable deposit or administrative fee specified in the applicable SOW. Written notice of cancellation must be received before the agreed-upon project start date.

3.2 Early-Stage Cancellation

If you cancel within the first seven (7) calendar days after work has commenced, you may be eligible for a partial refund. The refund amount will be calculated by deducting the value of work already performed and costs incurred from total fees paid. A detailed accounting will be provided upon request.

3.3 Mid-Engagement Cancellation

If you cancel after the initial seven-day period but before delivery of final deliverables, a partial refund may be issued at Orvexium Consulting's discretion. The refund amount will consider percentage of work completed, resources allocated, the nature and scope of the engagement, and any milestones already achieved. You will receive all completed or partially completed deliverables as of the cancellation date.

3.4 Post-Delivery

Once final deliverables have been provided and accepted (or deemed accepted per Section 4), no refunds will be issued. If you are dissatisfied with quality, please refer to Section 5 for our resolution process.

4. Acceptance of Deliverables

Upon delivery you will have ten (10) business days to review and provide written feedback or approval. If no written objection is received within this period, the deliverable is deemed accepted. If material deficiencies are identified, you must notify us in writing specifying the nature of the deficiency. We will review and take reasonable corrective steps at no additional charge. Minor variations or subjective preferences do not constitute grounds for rejection.

5. Quality Guarantee and Revision Policy

Orvexium Consulting stands behind the quality of its work:

  • Each engagement includes up to two (2) rounds of revisions at no additional charge, provided requests are within original scope and submitted within twenty (20) business days of initial delivery
  • Additional revisions beyond included rounds may be performed at standard hourly rate, subject to mutual agreement
  • Revisions constituting material scope change will require a supplemental SOW and additional fees
  • We make commercially reasonable efforts to address all revision requests promptly

If after included revisions you remain dissatisfied, we will engage in good-faith discussion to determine appropriate resolution, which may include additional revisions, partial credit toward future services, or in exceptional circumstances, a partial refund.

6. Retainer-Based Engagements

  • Monthly retainer fees are non-refundable once the applicable month has commenced
  • Cancellation requires thirty (30) days' written notice before the next billing cycle
  • Unused retainer hours do not roll over and are not refundable unless specified in your SOW
  • If Orvexium fails to provide agreed retainer services, you may be entitled to pro-rated credit or refund

7. Hourly Engagement Fees

Fees billed hourly are non-refundable once services have been rendered. Invoices will include detailed time records. Any disputes must be raised in writing within fifteen (15) business days of invoice date.

8. Refund Process

  • Submit written refund request to support@orvexiumconsulting.com including your name, company, engagement reference, reason for request, and amount requested
  • We acknowledge receipt within two (2) business days
  • Determination made within ten (10) business days of receiving all necessary information
  • Approved refunds processed within fifteen (15) business days via original payment method
  • Written confirmation sent upon processing

9. Non-Refundable Items

  • Administrative and project setup fees identified as non-refundable in the SOW
  • Third-party costs incurred on your behalf (data acquisition, software, travel expenses)
  • Rush or expedited service surcharges
  • Fees for fully performed services and accepted deliverables
  • Monthly retainer fees for months where services have commenced

10. Chargebacks and Payment Disputes

We encourage contacting us directly before initiating chargebacks. Filing a chargeback without first attempting resolution may result in service suspension and may constitute a breach of our Terms of Service. We reserve the right to respond with documentation supporting charge validity.

11. Force Majeure

If we are unable to perform due to circumstances beyond reasonable control (natural disasters, pandemics, government actions, internet outages, etc.), we will work with you in good faith to determine appropriate resolution including rescheduling, credits, or partial refunds on a case-by-case basis.

12. Modifications to This Policy

We may modify this Refund Policy at any time. Changes are effective immediately upon posting. Changes will not apply retroactively to engagements or payments made prior to the date of change unless required by law.

13. Governing Law

This Refund Policy is governed by the laws of the Commonwealth of Kentucky, United States, without regard to conflict of law provisions. Disputes shall be resolved in accordance with our Terms of Service.
